Your questions answered: how outsourced support works with BayTree
As businesses grow, it’s not unusual to reach a point where there simply aren’t enough hours in the day. More accountants, consultants and trusted advisers are recommending outsourced support as a practical way to create capacity, maintain momentum and strengthen day-to-day operations.
At BayTree, we provide a managed support service that connects clients with experienced, UK-based BayTree Executive Assistants. Our role is to ensure you have the right support in place, giving you the space to focus on leading your business with confidence.
Here are some of the questions we’re asked most often.
Are BayTree Executive Assistants employees?
No. BayTree Executive Assistants are self-employed professionals whose client relationships are supported and overseen by our Operations Team.
This approach gives clients the benefit of working directly with a highly experienced professional, while also enjoying the reassurance of a managed service behind the scenes. Our Operations Team remains available to ensure everything runs smoothly and support is always on hand when needed.
How do you match the right Executive Assistant to a client?
Finding the right fit is one of the most important parts of the process.
We take time to understand your business, your working style and the type of support you’re looking for. Alongside psychometric profiling used during recruitment, we draw on our experience and knowledge of both clients and team members to create strong, productive partnerships.
The result is a carefully considered match that enables our Executive Assistants to integrate quickly and start adding value from the outset.
For ad hoc tasks and project-based work, support can often be in place within 48 hours. For ongoing support, the onboarding process typically takes a couple of weeks and includes initial conversations, matching, a chemistry meeting and agreement of services, depending on availability.
How does billing work?
We keep things simple and transparent.
Clients are invoiced monthly, with all time tracked through Harvest software. Our Operations Team manages the billing process centrally, providing clear reporting and a straightforward experience
Is there a minimum commitment?
Yes. We ask for a minimum commitment of 10 hours per month.
This allows your Executive Assistant enough time to become familiar with your business, establish effective ways of working and deliver meaningful support that creates lasting value.
How much does outsourced support cost?
Because every client requires a different level of support, costs vary depending on the complexity of the work, the expertise required and whether multiple team members are involved.
As a guide, the average hourly rate for outsourced support in the UK is £30.60, according to a survey conducted by the Society of Virtual Assistants.
We’ll always discuss your requirements and provide clear pricing recommendations based on your individual needs.
How do you maintain confidentiality?
Trust is fundamental to every client relationship.
Your assigned BayTree Executive Assistant is the only person with direct access to your systems and information. They work securely within your organisation’s environment, using their own user profile and email address so they can operate as a seamless extension of your team.
While our Client Services and Operations Teams may be aware of the scope of work and periodically review progress, all information is handled with professionalism and discretion. Confidentiality is also covered within our Terms and Conditions, and clients are welcome to request a Non-Disclosure Agreement (NDA).
When can I expect to see results?
The answer depends on the type of support you require, but most clients begin to experience the benefits quite quickly.
For businesses that are new to outsourced support, we often recommend starting with around 20 hours per month. This gives your Executive Assistant time not only to complete tasks, but also to understand your communication preferences, systems and ways of working.
After the first three months, our Client Services Team will review the relationship with you to ensure everything is working effectively and identify any opportunities to strengthen support further.
What happens next?
If you’re considering outsourced support and would like to explore whether it’s the right fit for your business, the next step is a no-obligation conversation with our Client Services Team.
We’ll take the time to understand your needs, discuss where support could make the greatest difference and help you identify the best way forward
